Job Description

Front Office executive is a very critical role for our company as the incumbent would be the initial face and voice of the company. We look for someone with a cheerful personality, clear to neutral accent and open to learning as the incumbent would be groomed for HR Executive / Sr. administrative Executive / Facility Management executive role based on the interest and capability.

Key Responsibilities

  • The role is categorized mainly into following  main areas :

Front desk duties:

  • Undertake the tasks of receiving calls, take messages and routing correspondence in absence of the receptionist
  • Manage the team of  housekeeping & delivery boys

Administrative duties :

  • Handle daily office administrative requests and queries appropriately
  • Support for internal staff welfare events
  • To stock & monitor office supplies
  • Preparing all necessary official letters & documents
  • Oversee office cleanliness

Document control:

  • To develop an efficient documentation & filing system by orderly recording and keeping of physical and electronic documents
  • Distributing new documents and discarding obsolete records
  • Keep records and logs of document retrievals, updates, distributions and removals
  • Categorize, file and retrieve documents using specific classification and organization systems

 

Qualifications, Experience & Skill requirements:

Minimum Qualifications

  • Bachelor degree in any field
  • 0-2 years of relevant experience in similar profile
  • Good knowledge of letter drafting and reporting using Computer
  • Basic knowledge of computer to work on our Technical tools for daily office operations
  • Exemplary planning, organizational, coordination and time management skills
  • Up-to-date with advancements in office gadgets and applications
  • Ability to multitask and prioritize daily workload
  • Flexible, calm, cheerful, alert, proactive, enthusiastic, loyal personality

Preferred/Desired Qualification

  • Diploma in secretarial practice
